    Schedule: Monday through Friday,



    Maintains files, databases, and serves as the receptionist. Assists with the preparation of reports and documentation related to the Public Works Agency. Performs data entry in work management and financial management software and prepares reports.


    ESSENTIAL FUNCTIONS (Specific assignment will include some or all of the following):

    • Assists the Public Works Agency and its bureaus as directed.
    • Provides courteous service to all customers, in person or on the phone, who have questions and concerns relating to the department.
    • Processes, organizes and maintains a variety of electronic and paper documentation for the Public Works Agency.
    • Maintains all files related to work requests, purchasing, contracts, and business development.
    • Prepares bills and submits invoices for payment.
    • Maintains a database of work requests and complaints for the division.
    • Maintains spreadsheets and databases of purchasing and billing information.
    • Serves as a receptionist for the Public Works Agency; answers, screens, and routes telephone calls.
    • Checks and distributes incoming mail, and prepares outgoing mail.
    • Greets internal and external customers and provides information to those who walk in to the Agency.
    • Relates pertinent information about the City of Evanston and can refer customers to other departments within the City as necessary.
    • Perform other clerical duties as requested.

    Minimum Requirements


    • Must possess a high school diploma or GED.
    • Must possess a valid driver’s license and safe driving record.
    • Must possess at least two years of progressively responsible clerical and customer service experience.  
    • Knowledge, skills, and abilities in the following areas:
    • Considerable knowledge and ability to use Microsoft Word, Excel, Outlook and PowerPoint applications. Knowledge of and ability to use internet search engines.       Ability to perform data entry and basic computer operations.
    • Ability to multi-task many variable duties and responsibilities.
    • Knowledge of business terminology, spelling and punctuation, as well as office practices and procedures with exceptional skill and knowledge of word processing and database computer programs.       Ability to perform basic math skills and determine percentages and rates of change.
    • Ability to establish and maintain effective working relationships with a diverse group of internal and external customers throughout the City and outside the organization; communicating effectively both verbally and in writing.
    • Ability to apply principles of rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
    • Ability to work as part of a team.
    • Ability to remain calm and courteous in tense situations.



    Ability to work while sitting and standing.


    Bending, kneeling, stretching and reaching associated with general use of office equipment.


    Ability to occasionally lift and/or exert force up to 20 pounds.


    There are no environmental hazards associated with this classification.


    Additional Information




    Work is performed under the general direction of the Public Works Agency Director and Special Project Assistant. The individual has contact with other departmental and city staff at all levels, and uses the necessary resources in other departments and divisions, as well as, external resources as appropriate.   Work is assigned through specific projects assigned by various staff of the department as well as through customer requests. The employee is responsible for prioritizing work tasks, and for identifying and utilizing the appropriate resources to resolve a problem or situation and/or research and analyze specific data. Performance is reviewed through observation, completion of projects, status reports, and meetings. Guidance is provided through departmental policies, City operating practices and procedures, and other resources as applicable to the specific project assigned. Work is evaluated at least annually, with respect to problem-solving ability, customer service, research and analytical skills, written and verbal communication skills in accordance with this classification standard.






    The Employee has regular and frequent contact with other City staff and the general public.
